I. General Overview
The Charity Centre for Refugees NGO (CCR) is a non-governmental, non-profit, non-religious, and apolitical organization, established in November 1999. Our main partners are the United Nations High Commissioner for Refugees (UNHCR) and the General Inspectorate for Migration within the Ministry of Internal Affairs of the Republic of Moldova.
The mission of CCR is to facilitate the social, economic, and cultural integration of refugees in the Republic of Moldova and to support disadvantaged citizens of the country.
II. Purpose of the Tender
CCR is requesting proposals from legal entities in the Republic of Moldova to contract one or more service providers for conference room rentals and catering services, as outlined in this request for proposals and based on a service contract signed between the selected company(ies) and CCR for the period of February 4, 5, and 6, 2025.
III. Technical Requirements
The selected companies will provide services in accordance with the conditions specified by CCR in the signed service agreement and will ensure service delivery based on availability for the requested period, covering the following categories and adhering to the listed requirements:
Category 1: Venue for Events
- Suitable for groups of up to 50 people, arranged in a training format:
- Capacity for approximately 50 participants (room capacity up to 50 persons).
- Central location, near the city center and/or CCR office.
- Catering services included or the possibility to contract catering services.
- Modern/high-tech interior design is an advantage.
Category 2: Catering Services
- Diverse menu options (coffee breaks, lunches).
- Comprehensive logistical and service delivery.
- Proper transportation of food (appropriate packaging, temperature, etc.).
All venues must comply with the following conditions:
- Conference room meeting the specified requirements and accommodating the indicated number of participants.
- Necessary equipment: projector, screen (large or large and small as needed), speakers, microphones.
- Catering services upon request: lunch, coffee breaks.
- Internet connection.
- Parking spaces (free parking for organizers is an advantage).
- Competitive pricing with an appropriate quality-price ratio.
- Accessibility for persons with disabilities (ramp, adapted restrooms) will be an advantage in selecting companies for events requiring these facilities.
IV. Tender Submission Requirements
Interested companies are requested to submit their proposals via email to office@ccr.md by December 15, 2024. The email must clearly indicate the category and/or subcategory of services proposed by the applicant.
The submission package should include:
- Company details (name, address, contact phone number, email address, responsible person).
- Copy of the registration certificate/Extract from the State Register of Legal Entities.
- Operating authorizations (copies of the registration certificate, sanitary operating authorization).
- Financial offer specifying prices in MDL, including VAT. Prices in the offer must remain fixed and cannot be changed during the contract period without justified reasons.
- The company’s experience over the past 1-2 years and its client portfolio (references will be highly appreciated).
Applicants may submit proposals for all requested services or only for specific service categories, including specific event formats.
All applicants will be notified of the selection results after the evaluation process is complete.
